AI Readiness & Adoption

Get Microsoft Copilot to actually save your team time. Most Copilot rollouts disappoint because the data, permissions and processes underneath were never prepared.

The challenge

Copilot will surface whatever it can see — including what it should not.

Out of the box, Copilot can read every file the user can read. In a SharePoint estate that has accumulated a decade of permissions drift, that includes salary spreadsheets shared too widely, drafts marked confidential, and personal data nobody remembers uploading. The fix is data readiness — cleanup, sensitivity labels, DLP and permission governance — before the licences turn on, not after the first uncomfortable Copilot answer.

  • What

    What does AI readiness mean?

The data, permissions, classification and adoption work that needs to happen before Microsoft Copilot delivers real productivity gains. Most of the value comes from getting SharePoint, sensitivity labels and DLP into shape — not from the AI itself.

  • Why it matters

Copilot reads everything it's allowed to

Permission drift across years of SharePoint and Teams use means Copilot will confidently surface content it should not. Getting that right before turning Copilot on is the difference between a useful productivity tool and an embarrassment.

  • How Ricoh fixes it

    Foundation first, then adoption

Audit the data Copilot will read, remediate permissions, apply sensitivity labels and DLP, then deploy Copilot to a pilot group with structured adoption training. Custom Copilot Studio agents where the default is not enough.

How we help

Our approach.

Copilot is only as useful as the data it can reach and the processes it can plug into. The common Pacific story: licences purchased, expectations high, results underwhelming — because Copilot is reading a SharePoint full of inherited permissions, duplicated documents and content nobody owns. AI Readiness gets the foundation right (SharePoint cleanup, sensitivity labels, DLP, governance) and runs an adoption programme so Copilot becomes a habit, not a curiosity.

Capabilities

What's included.

  • Copilot licensing and deployment

    Copilot licensing and deployment

Microsoft 365 Copilot purchased through your CSP, deployed to a pilot group, expanded with measured rollout — not a top-down switch-flip.

  • Data readiness audit

    Data readiness audit

Find the SharePoint sites, OneDrives and Teams that Copilot will read. Identify permission drift, orphaned content and sensitive data that should be restricted.

  • SharePoint cleanup and governance

Remediate permissions, archive abandoned sites, set retention and ownership — so Copilot has a clean information environment to work in.

  • Sensitivity labels and DLP

Classify the content that matters — financial, customer, regulated — and apply data loss prevention rules so AI cannot leak it accidentally.

  • Copilot Studio custom assistants

    Copilot Studio custom assistants

When the default Copilot is not enough, build custom assistants grounded in your specific data — onboarding bot, policy bot, sales-enablement bot.

  • AI governance and usage policy

Acceptable-use policy, prompt patterns, escalation paths and audit logging — so AI rollout is defensible to a board, regulator or auditor.

Real outcomes from Pacific customers.

Day 1
readiness before any Copilot licence activates

We do not turn on Copilot until the SharePoint cleanup, sensitivity labels and DLP baseline are in place. The result: organisations get Copilot answers that are actually useful from the first week — not a slow, embarrassing discovery of every permission mistake the last decade left behind.

Use cases

How customers use this.

  • 01

    First Copilot rollout

Pilot group, data readiness, adoption training and measured expansion — typically 8–12 weeks to organisation-wide value.

  • 02

    Stalled Copilot rollout

Licences in place, results disappointing. We diagnose why (usually data, sometimes process) and fix the foundation.

  • 03

    Custom AI assistant

Build a Copilot Studio agent grounded in your internal docs — answers HR, policy or product questions without exposing the underlying data.

FAQ

Frequently asked questions.

The questions South Pacific decision-makers ask most often before they engage on ai readiness & adoption.

  • What is the difference between Microsoft 365 Copilot and Copilot Studio?

Microsoft 365 Copilot is the AI assistant built into the Microsoft 365 apps — the chatbox in Word, Excel, PowerPoint, Outlook and Teams. It reads your own tenant data and answers questions, drafts content and summarises documents based on what the signed-in user can access. Copilot Studio is a separate platform for building custom AI assistants grounded in specific data sources — for example, an HR bot that answers policy questions, a sales-enablement bot that knows your products, an internal IT bot that handles common requests. M365 Copilot is per-user licensed; Copilot Studio agents are licensed on capacity-based pricing. Most organisations start with M365 Copilot for productivity gains and add Copilot Studio agents over time for specific business-process automation.

  • Why does our data need to be 'ready' before AI tools work properly?

AI assistants are confidence-multipliers. Where the underlying data is clean — proper permissions, sensitivity labels in place, current information separated from outdated versions, sensitive content classified — Copilot answers grounded in accurate, appropriately-scoped data. Where the data is messy — over-shared SharePoint sites, duplicated documents, abandoned content, missing classification — Copilot amplifies the mess. It surfaces salary spreadsheets to the wrong audience, quotes outdated policy drafts as current, references stale customer data confidently. Data readiness work closes those gaps before the AI starts using them rather than discovering the gaps the hard way after rollout.

  • How long does AI Readiness take?

End to end, two to four months for most Pacific organisations. The audit phase is one to two weeks. Permission remediation and SharePoint cleanup typically runs four to eight weeks depending on the volume of content and the state of the existing tenant. Information governance configuration (sensitivity labels, DLP, retention) is a further two to three weeks running in parallel. The pilot deployment then runs for four to six weeks before the wider rollout decision is made. Larger or more regulated environments can extend the timeline; the readiness audit produces the timeline estimate before any commitment is made.

  • Can we run AI on top of our existing SharePoint and Teams without major restructuring?

Usually yes — restructuring SharePoint and Teams is rarely required and often counterproductive. The readiness work focuses on permission cleanup (which is invisible to users), sensitivity labels (which are added on top of existing content), DLP policies (which run at the platform level) and the removal of abandoned content. Users continue using SharePoint and Teams exactly as they do today. Where we do recommend restructuring is when a customer has accumulated hundreds of similarly-named sites with overlapping ownership and unclear purpose; in those cases, consolidation makes Copilot answers materially better. But this is the exception rather than the rule.

  • What is the difference between AI Readiness and the Microsoft 365 Copilot Readiness engagement?

Microsoft 365 Copilot Readiness is the focused, project-scope engagement to prepare a tenant specifically for the M365 Copilot product — the AI built into the M365 apps. AI Readiness and Adoption is the broader Digital Transformation programme that covers Copilot plus Copilot Studio custom assistants, AI governance policy, organisation-wide change management, ongoing AI usage measurement, and the cultural work to embed AI into how the business operates. Most organisations start with Copilot Readiness as a defined project; if AI becomes a strategic priority, the relationship expands into AI Readiness and Adoption as an ongoing engagement.

  • Do we need to train our team on AI usage, or is it self-evident?

Training is the single largest determinant of whether Copilot delivers measurable productivity gains. Without training, most users default to using Copilot as a fancy autocomplete — drafting emails, summarising meetings — and miss the higher-value use cases (synthesising across multiple documents, generating first-draft analyses from raw data, automating repetitive content production). Training does not need to be long or formal — a structured one-hour onboarding per user followed by role-specific tip sheets and a 30-day check-in is usually sufficient. We include adoption training in every Copilot Readiness engagement; for AI Readiness as an ongoing programme, training is scheduled in quarterly waves as new capabilities are released.

  • What does AI Readiness cost?

AI Readiness pricing varies more than other engagements because the scope flexes significantly based on tenant state and organisation size. For a clean Microsoft 365 tenant under 100 users, the readiness work plus pilot deployment typically lands in the mid five-figure range (NZD). Larger tenants or environments with significant SharePoint cleanup needs scale upward. AI Readiness and Adoption as an ongoing programme is then priced per active Copilot user per month, covering governance reviews, adoption support, Copilot Studio agent maintenance and quarterly reporting. Microsoft 365 Copilot licences themselves are a separate per-user-per-month line item billed through our CSP relationship. We quote scope-specific rather than publishing a generic rate that would be wrong for most environments.
