Business Applications

Dynamics 365, Power Apps and SharePoint solutions — the line-of-business systems your team actually runs on, designed and deployed by people who will still be here to maintain them.

The challenge

Your business runs on spreadsheets nobody knows how to extend.

When the customer list is in one spreadsheet, quotes are in another, jobs are tracked in a third, and the only way to reconcile them is a senior person spending Friday afternoon copying numbers — your business has outgrown its tooling. Replacing the patchwork is rarely a technology problem; it is a discipline problem. We supply the discipline.

  • What

    What are business applications?

The line-of-business systems behind the work: CRM, ERP, job management, asset registers, intranets, custom internal tools. The systems your team uses every day to do their actual job — not the email and document tools that everyone has.

  • Why it matters

    Patchwork eventually stops scaling

Spreadsheets and shared inboxes work until the team gets bigger, the data gets messier, or someone leaves with all the knowledge in their head. Replacing the patchwork before that point compounds — every process that lives in a system gets better with time instead of worse.

  • How Ricoh fixes it

    We design, build and operate

Dynamics 365 where it fits the process, Power Apps where it does not, SharePoint underneath both. Discovery first, no big-bang rollouts, your local team trained as we go.

How we help

Our approach.

Most Pacific organisations run their business on a patchwork of spreadsheets, shared inboxes and SaaS tools that never quite talked to each other. We build and integrate the systems that replace the patchwork — Dynamics 365 for sales, service and finance, Power Apps for the gaps the off-the-shelf market does not fill, and SharePoint as the document layer underneath. Built on Microsoft technology your team already has a licence for.

Capabilities

What's included.

  • Dynamics 365 implementation

Sales, customer service, field service and finance modules — configured for your processes, not a generic template.

  • Power Apps custom apps

    Power Apps custom apps

Where Dynamics does not fit, Power Apps does — purpose-built apps on the Microsoft data platform with no per-user licence tax.

  • SharePoint solutions

Document libraries, intranets and custom lists that replace shared drives and email attachments.

  • SaaS rollout and integration

Third-party tools (Xero, Tanda, HubSpot, sector-specific platforms) selected, configured and integrated cleanly with the Microsoft stack.

  • Dataverse and data modelling

A proper data layer underneath every app so the business has one place to ask questions of.

  • Ongoing support

    Ongoing support

Local team that knows your configuration — your apps do not stop working because the consultant moved overseas.

Technology partners

Mobile-first app for technicians, inspectors or sales reps capturing data on-site and syncing back to head office.

FAQ

Frequently asked questions.

The questions South Pacific decision-makers ask most often before they engage on business applications.

  • What counts as a 'business application' — what kinds of systems do you build?

Anything that automates or replaces a line-of-business process the team does manually today. Customer relationship management (CRM), job and project management, asset registers, inspection and audit apps, sales-quote tools, stock and inventory systems, internal intranets and self-service portals, field-service mobile apps, expense and approval workflows, board-pack and reporting portals — these are all business applications. Off-the-shelf products like Dynamics 365 cover the common patterns; Power Apps fills the gap where the off-the-shelf market does not have a good match. We do not build accounting systems, payroll engines or e-commerce platforms — those are better served by purpose-built SaaS that you integrate to, not replace.

  • When should I use Dynamics 365, and when should I use Power Apps?

Dynamics 365 covers well-established process patterns at scale — sales, customer service, field service, finance, supply chain. If your process is close to one of those, Dynamics gets you most of the way with configuration rather than custom development, and the long-term maintenance cost is lower because Microsoft maintains the platform. Power Apps is the right answer when the process is specific to your business and no off-the-shelf product matches — internal request apps, inspection workflows, custom asset management, niche sector-specific tools. Power Apps gives you complete control over the data model and user experience without per-user licence costs scaling with every user, but you carry more maintenance responsibility. The discovery step in any engagement is largely about deciding which side of that line a given requirement sits on.

  • Why use Dynamics 365 or Power Apps instead of off-the-shelf SaaS like HubSpot, Xero or sector-specific products?

For most processes, off-the-shelf SaaS is the right answer and we will tell you so. The Microsoft platform earns its place where the process is actually specific to your business (so no SaaS product matches), where you need tight integration with other Microsoft 365 tools (the integration story is materially better), where data residency or security requirements rule out third-party SaaS, or where the per-user SaaS cost compounds badly at scale. The honest answer is that we recommend Xero for small-business accounting, HubSpot for marketing-led sales pipelines, and PaperCut for managed-print reporting — these are excellent at what they do. We build on Microsoft where Microsoft is the better answer, not as a default.

  • How long does a business applications project take?

A spreadsheet-replacement Power App typically lands in four to eight weeks from kick-off — including discovery, build, user testing and deployment. A Dynamics 365 Sales or Customer Service implementation sized for a mid-market Pacific business is usually a twelve to sixteen-week project, broken into phases so the team starts using the system early rather than waiting for a big-bang launch. A larger field-service or multi-module Dynamics rollout can extend to six months or more. We avoid big-bang launches as a matter of practice — every project breaks into phases that go live in stages so risk is spread and the team can absorb change incrementally.

  • Can you integrate Dynamics 365 or Power Apps with our existing systems — accounting, payroll, e-commerce?

Yes. Integration is one of the strongest arguments for the Microsoft platform. Pre-built connectors exist for hundreds of common business systems including Xero, MYOB, QuickBooks, Stripe, Shopify, WooCommerce, Mailchimp, HubSpot, Salesforce, DocuSign and many more. Where a pre-built connector does not exist, custom integration through Power Automate or Azure Logic Apps is straightforward provided the source system has an API. The result: data flows between systems automatically — quotes accepted in Dynamics post to Xero as invoices; expense approvals in Power Apps trigger payroll updates; field-service jobs update the customer record in CRM. The work we do designs these flows up front so the user does not see them.

  • What does ongoing support and maintenance look like after a business application launches?

Every project we deliver includes a defined support period (typically three months) covering bug fixes, configuration adjustments and user-experience refinement based on real-world feedback. After that, ongoing support moves to a managed-service relationship priced per active user per month. That covers platform monitoring, Microsoft release management (Dynamics and Power Platform get major updates twice a year), user permissions changes, minor enhancements and helpdesk for application questions. For organisations that want a closer relationship, we offer scheduled enhancement sprints — a fixed monthly budget of build capacity for new features and integrations as the business evolves.

  • What does a typical business applications project cost?

Project pricing is fixed-fee against a defined scope rather than time-and-materials, so you know the cost before kick-off. A Power Apps spreadsheet replacement for 10 to 30 users typically lands in the mid five-figure range (NZD); a Dynamics 365 Sales or Customer Service implementation for a 50 to 150 user team is generally a six-figure project, broken into phases so the spend tracks with delivered value. Ongoing managed-service costs are then per-user-per-month against the platform. Microsoft licensing for Dynamics 365 and the Power Platform sits separately from the build cost — we run that through our CSP relationship so the per-month licence cost is predictable in your local currency.
