What we collect

What we do with the information we gather

We gather your personal information to conduct business with customers, suppliers, and other third parties, and for internal marketing purposes to inform you about Ricoh products and services, as well as those of our fully-owned promotional brands and channels.

Chatbot on this website

This website includes an AI chatbot that helps you find the right product, answer questions, or hand off to our sales or support team. When you start a chat we collect:

• The name and email you give us so we can follow up
• Your messages and our replies (the chat transcript)
• The page you started the chat on and which market this site serves

We use this to answer your question, route you to the right sales person or support team, and prepare a brief so the person who follows up isn't starting from scratch.

Where the information goes:

• Anthropic (Claude API). The chatbot is built on Anthropic's Claude model. Your messages are sent to Anthropic so the model can generate a reply. Anthropic does not use API inputs to train its models.
• Cloudflare. Your in-progress conversation is held on Cloudflare's edge for 24 hours. A copy with your name, email address and any phone numbers removed is kept for up to 90 days so we can improve the chatbot, then deleted automatically.
• Salesforce and Microsoft 365. When a chat converts to a sales or support enquiry, we save the lead (name, email, any phone number or business name you give, a summary of the conversation, and the transcript) to our Salesforce customer records, and email it to our local team, so the right person can pick it up. These records are retained until we delete them.

If you'd like the chatbot data we hold about you removed, email privacy@ricohsouthpacific.com with the email address you used in the chat. We will delete the transcript and any related lead within 30 days.

Security

Your data is kept secure and is not provided to any third party, other than as a required part of completing work you have requested. To prevent unauthorised access or disclosure we have put in place suitable physical, electronic and managerial procedures to safeguard and secure the information we collect online.

Controlling your personal information

You have the right to ask for a copy of any personal information we hold about you, and to ask for it to be corrected if you think it is wrong. We will promptly correct any information found to be incorrect.
